I previously touched on how outdated Excel is and the benefits of newer cloud based software solutions. I’d now like to demonstrate how ONSO can help businesses save money and increase efficiency.

Through my own experiences in construction over the past 15 years, I have seen first hand the huge scope for improvement. Only a few years I was managing a project in London and halfway into a 4 hour drive back home, I received a call from a site operative who wanted to give me a long list of fittings that needed ordering immediately for delivery the next morning. I couldn’t stop to write down the order and contact the supplier, so the only option was for the site operative to try and contact head office and ask someone to take time out of their day and their own projects to deal with his order request. That same order that the site operative had jotted down would have in turn been noted down by my colleague in the office, reiterated over a call to the supplier, copied into a follow up email to the supplier and further copied into internal ordering records. Lots of potential for getting just one order wrong. There had to be a better way to deal with this.

This is was when the idea for ONSO was born.

ONSO has been developed as a simple system that is used to request and approve orders and submit them to a supplier quickly and efficiently. Over the past 3 years, we have used our experience in the construction industry to create a purpose built system that perfectly deals with the issue of purchase order requests and supplier financial management. We have worked with and listened to a range of businesses in order to create an easy to use system that is accessible, no matter how tech savy you are.

Some of ONSO’s features include:

Integrated Ordering System – keep on top of project order requests and review entire company spending. ONSO automatically generates a company specific order number that is logged under the user’s individual company account. It matches invoices to the correct purchase order and lets the accounts team know when they have been approved.

Supplier Rates Database- we understand that many construction companies have agreed rates with their key suppliers. These rates can vary from company to company and can also change depending on the volume ordered. We created our Supplier Management function with an Excel uploader option, so that the bespoke rates agreed between company and supplier can be uploaded onto the system within minutes ready for the team to use.

Supplier Analytics – analyse supplier spending patterns from a user, project or company perspective. Find out how much money is spent with each supplier and which products are ordered most frequently. Use this data to review rates with suppliers or improve internal spending habbits.

User Configurability-The system can restrict specific users from having access to your agreed supplier rates and the supplier analytics. This is particularly useful where work is outsourced to sub-contractors who do jobs for several businesses all competing in the same market. With ONSO, companies can limit and restrict user accounts to Guest users which is perfect for protecting sensitive data from site operatives and subcontractors. Each ONSO package comes with unlimited Guest users for no extra cost so there is no extra expense for users who just need to place purchase order requests.

Project and User Spending Limits – set spending limits for specific users, so that approval is needed if an order exceeds a predetermined amount. The Project Spending feature allows you to set a budget, so you can be alerted to a potential overspend before it is approved.

System interoperable – ONSO works alongside your existing accounting software, so unlike so many other purchase ordering systems out there, a switch to ONSO doesn’t mean having to upgrade or replace all your other systems.
